We handle personal information in two distinct capacities, and the rest of this policy depends on which one applies to you.
As a controller. When you browse this site, contact us, or deal with us commercially, we decide why and how your information is used. Sections 3 to 9 cover this.
As a processor. When a client engages us to scrub, annotate, validate or value their data, that data may contain personal information about people who are not our customers. We handle it strictly on the client's documented instructions under a separate data processing agreement. Section 10 covers this.
Information you give us. When you submit a form or email us, we receive your name, work email, company, role, and whatever you choose to write in your message.
Information collected automatically. When you visit this site we and our analytics provider may record your IP address, approximate location derived from it, browser and device type, referring page, pages viewed, and time of visit.
What we ask you not to send. Please do not send raw datasets, customer records, special category data, or personal information about other people through our forms or by email. If you do, we may delete it without processing it.
We use this information to respond to your enquiry, assess whether we can help, provide and administer our services, invoice and keep accounting records, secure and improve the site, and send business communications you have asked for or that are relevant to an existing relationship. We do not sell personal information, and we do not use the contents of your enquiry to train machine learning models.
Where the GDPR or UK GDPR applies, we rely on: performance of a contract, for delivering services you have engaged us for; legitimate interests, for responding to enquiries, securing the site and running our business, balanced against your rights; consent, for optional analytics and marketing where required, which you may withdraw at any time; and legal obligation, for tax, accounting and compliance records.
We share personal information with service providers who host our site, deliver our email, provide analytics, and support our accounting and CRM, each under contract and only as needed to perform those functions. We share it with professional advisers where necessary, with other entities within our corporate group, with an acquirer in the event of a merger, acquisition or asset sale, and with authorities where we are legally required to. We do not sell or rent personal information, and we do not share it for cross-context behavioural advertising.
We keep enquiry correspondence for as long as needed to deal with it and for a reasonable period afterwards, and client records for the duration of the engagement plus any period required for legal, tax and accounting purposes. Analytics data is retained on a rolling basis. When information is no longer needed we delete it or anonymise it.
We apply access controls, encryption in transit, segregated processing environments and least-privilege access to the systems that hold personal information. No system is perfectly secure, but security is central to what we do, and we treat client data with the same controls we apply to our own.
We are based in the United States and our providers may process information in other countries. Where information is transferred out of the EEA or the UK, we use an approved transfer mechanism such as the Standard Contractual Clauses.
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, restrict or object to how we use it, receive a portable copy, withdraw consent, and not be discriminated against for exercising these rights. California residents have the rights to know, delete, correct and opt out of sale or sharing under the CCPA as amended — we do not sell or share personal information as those terms are defined.
To exercise any of these, email privacy@scalaix.com. We will verify your request and respond within the time the applicable law allows. If you are in the EEA or UK and are unhappy with our response, you may complain to your local supervisory authority.
When a client instructs us to prepare their data, they remain the controller of any personal information it contains and we act as their processor. We use it only to perform the agreed work, do not use it for our own purposes, and do not use it to train our own models. Our engagement terms set out confidentiality obligations, our use of subprocessors, security measures, breach notification, and deletion or return of the data when the work concludes.
Much of our work involves removing or transforming personal information so that data can be used safely. If you believe your personal information appears in a dataset handled by us on a client's behalf, contact us and we will route your request to the client responsible for it.
This site uses a small number of cookies and similar technologies for essential functionality and aggregate usage analytics. You can block or delete cookies in your browser settings, though parts of the site may not work as intended if you do.
This site and our services are intended for businesses. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
We may update this policy as our services or the law change. The date at the top reflects the most recent revision, and we will give notice of material changes where required.
